UK Climbing Comps is an independent, non-commercial UK climbing competition information project operated by David Kettle. If you have a question about your personal information or this Privacy Notice, please contact us at contact@ukclimbingcomps.co.uk.

Information we collect
If you create an account, we collect your email address for account authentication. Depending on the profile features you choose to use, we may also store information such as your display name, home region, approximate postcode area, travel radius, preferred climbing disciplines, competition preferences, favourites and competition alert preferences. You do not need to provide your date of birth.

If you submit a competition or send feedback, we may store the information you provide, together with your account details where available, so that we can review and respond to it.

Why we use this information
We use personal information to operate accounts, provide the features you request, personalise competition information, save favourites, process competition submissions and feedback, provide optional alerts where selected, maintain the security of the service and improve UK Climbing Comps.

Our lawful basis
We process information needed for your account and the services you ask us to provide because it is necessary to provide those services. We may also process limited information where this is necessary for our legitimate interests in operating, securing and improving UK Climbing Comps, provided those interests do not override your rights. Where a feature relies on your consent, such as an optional communication where consent is required, you can withdraw that consent.

Public competition results and athlete search

We collect selected results from public organiser and governing-body websites, official results services, published scorecards and PDFs, and official organiser posts, including results tables published as images. We verify the competition edition and date and identify the source. Coverage is incomplete. We do not assume that information is suitable for republication simply because it is public.

Our searchable archive may contain an athlete's published name, competition and date, category (which may indicate an age band or sex), placing and round scores, and an identifier supplied by the results provider. These are personal information, including where the athlete is a child. We do not add dates of birth, home addresses, personal contact details or athlete photographs to this archive. We do not knowingly index health or disability classifications without a separate assessment of the additional legal requirements.

Anyone can browse these results or search by athlete name, event and date without an account. The indexed results file is publicly accessible and may be downloaded or copied by others. We keep results attached to their competition and source: identical names are not treated as proof that records concern the same person, and we do not create combined athlete profiles or link results to user accounts.

We use results to help participants and others find competition outcomes and maintain a useful competition history. For this limited republication and search, we rely on legitimate interests, subject to an assessment of necessity, reasonable expectations and the rights and interests of the athletes, giving particular weight to children. Publication by an organiser does not amount to consent to our use. If our interests do not justify a particular use, we will restrict or stop that use. You can object using the contact details below.

Results links and competition records are held in Supabase. Copies of indexed athlete results are served publicly with the website through Netlify. Source files used for verification are retained in our working project files and are not included in the public website release. Indexed copies can remain available if the original page moves or disappears; a link-only record cannot preserve the organiser's scores. Copies are snapshots and do not automatically reflect corrections or removals at the source. Removing a source page does not by itself establish whether our copy should be retained: we will review any correction, removal or safeguarding concern brought to our attention.

Results retention and review

We review identifiable results at least annually and when a concern or source change is reported. Our normal archive scope is the current competition season and the preceding four seasons. Keeping identifiable results beyond that scope requires a recorded review of their continuing purpose, necessity and impact; otherwise we remove or anonymise them. This is a review policy, not an automatic expiry mechanism. Supporting source files are reviewed with the related results and unnecessary extra information is removed.

We retain only the minimal restricted record needed to handle a correction or removal and prevent an upheld removal being reversed by a later import. Old deployment copies, working copies and backups are included in the review. Where immediate erasure from a backup is not possible, the information must be kept out of ordinary use and the correction or removal reapplied before restoration. We cannot recall copies independently made by other people or control the organiser's own records.

Correcting, restricting or removing results

An athlete, or a parent or carer acting for a child, can contact contact@ukclimbingcomps.co.uk or select Privacy / data request in Feedback. Please identify the competition, the relevant result and the concern. Do not send identity documents unless we explain why a proportionate identity or authority check is needed. We normally respond to data-rights requests within one month, explain any lawful extension, and give reasons and complaint information if we cannot grant a request. Erasure is not an absolute right, but children's safety and privacy concerns receive priority and we may hide affected results while reviewing them.

Where a correction or removal is upheld, we update the public archive and relevant working records, review accessible old deployments and backups, and record a minimal instruction to prevent accidental republication. Contacting us does not change the organiser's source; we can identify that source if you also wish to approach them.

Children and young people
UK Climbing Comps may be used by children and young people. We aim to use privacy-friendly settings, collect only the information needed to provide the service, and consider children's privacy and safety when developing new features. We do not require users to provide their date of birth and we do not publicly display account email addresses or users' postcode information. Please also see our Child Safety & Safeguarding policy.

Who processes the information
We use third-party technology providers to operate UK Climbing Comps. These include Supabase for database and account services, Netlify for website hosting and delivery, and Resend for email services. These providers may process information on our behalf where necessary to provide their services.

Cookies, browser storage and analytics
UK Climbing Comps does not currently use advertising cookies or third-party behavioural tracking. The site uses limited browser storage where it is needed to provide functionality, including keeping signed-in users authenticated through Supabase and remembering favourites for users who are not signed in.

We use Netlify Web Analytics to understand basic website usage, such as page views and visitor numbers. This analytics information is produced from website server logs rather than through advertising or analytics cookies. We do not use this information to build advertising profiles of individual users.

International processing
Some of the service providers used by UK Climbing Comps may process or store information outside the UK. Where this happens, we rely on the safeguards and data-protection arrangements provided by those services and applicable data-protection law.

Feedback and safeguarding reports
If you submit feedback, we may store the feedback type, message and your account email where available so that we can review and respond to the issue. Safeguarding reports may contain sensitive information and access to them is restricted to authorised administrative access.

How long we keep information
Account information is normally kept while your account remains active. Accounts may be reviewed after 24 months of inactivity and deleted where there is no continuing reason to keep them. Rejected competition submissions will normally be kept for no longer than 12 months after rejection. General feedback will normally be kept for no longer than 12 months unless it is still needed to deal with an unresolved issue. Safeguarding and privacy matters will be kept only for as long as reasonably necessary to deal with the concern and will be reviewed after the matter is closed. Sponsorship enquiries will normally be kept for no longer than 12 months after the enquiry or relationship has ended. Email delivery, security and technical logs are retained according to the normal retention periods of the service providers we use and are not deliberately retained by UK Climbing Comps indefinitely. Personal information will be deleted or anonymised when it is no longer needed, unless there is a legal, safeguarding, security or unresolved-dispute reason to retain it for longer.

Your rights
Depending on the circumstances, UK data-protection law gives you rights over your personal information. These can include asking for a copy of your information, asking us to correct inaccurate information, asking us to delete information, restricting or objecting to certain processing, and withdrawing consent where processing is based on consent.

You can change information that is editable within your profile. If you would like other information corrected, would like your account or personal information deleted, wish to object to processing or withdraw consent, please contact us using the site's feedback/contact facility. Optional competition alerts can also be turned off in your profile.

Complaints
If you have concerns about how UK Climbing Comps handles your personal information, please contact us first so that we can try to resolve the issue. You also have the right to make a complaint to the UK Information Commissioner's Office (ICO).

Selling or sharing information
We do not sell your personal information. Personal information is used for operating UK Climbing Comps, the services you choose to use and the public results archive described above, subject to the service providers and legal requirements described above.

Child Safety & Safeguarding

UK Climbing Comps is an independent competition-listing and information service. Children and young people are an important part of the UK climbing competition community, and we aim to operate the site in a way that respects their safety, privacy and wellbeing.

Our role

UK Climbing Comps helps people discover climbing competitions and provides information such as dates, venues, age categories, entry details and links to organisers.

We do not organise, supervise or deliver the competitions listed on the site. Responsibility for safeguarding participants at an event remains with the event organiser and/or venue.

Parents, carers and young athletes should check the organiser's own event information and safeguarding arrangements where appropriate.

Information about young people

UK Climbing Comps aims to collect and use only the personal information necessary to provide the service.

Users who create an account provide an email address for account and authentication purposes. Email addresses are not displayed publicly or shared with other users.

Competition listings may include youth age categories and links to official competition information and results.

We link to official results and also copy selected published results into a public archive searchable by athlete name, competition and date. This includes some youth results. Names, categories, placings and scores remain attached to their competition and source; we do not combine matching names into athlete profiles or connect them to user accounts. Please read the Privacy Notice for sources, lawful basis, retention and correction/removal arrangements.

UK Climbing Comps does not publish young athletes' home addresses, personal telephone numbers or personal email addresses.

Accounts and communication

UK Climbing Comps does not provide private messaging between users.

We will not use the site to facilitate private communication between adults and children.

Where we introduce new account, profile or communication features, safeguarding and children's privacy will be considered as part of their design.

We assess the additional risks of making youth results searchable across events, including unwanted attention and mistaken identity. We minimise the published fields and prioritise requests involving a child’s safety. A publicly posted results table may be transcribed after verification; this does not authorise copying accompanying photographs of children.

Photographs and media

UK Climbing Comps will take particular care with photographs or other media identifying children.

We will not knowingly use photographs of young athletes simply because they are available elsewhere online. Where images of children are used directly by UK Climbing Comps, we will consider consent, privacy and safeguarding before publication.

Event listings

An event appearing on UK Climbing Comps does not mean that we have inspected, approved or endorsed the event's safeguarding arrangements.

Organisers are responsible for ensuring that their competitions comply with appropriate safeguarding requirements.

If we become aware of a credible safeguarding concern connected with an event listing, we may amend or remove information while the matter is considered.

Reporting a concern

If you believe that information on UK Climbing Comps creates a safeguarding or privacy concern for a child or young person, please contact us using the site's feedback/contact facility and identify the issue as a safeguarding concern.

We will prioritise reports involving the safety or privacy of children and may remove or restrict content while a concern is investigated.

UK Climbing Comps is not an emergency or safeguarding reporting service. Concerns about the immediate safety of a child should be reported to the appropriate authorities or safeguarding organisation.

Keeping this under review

As UK Climbing Comps develops, we will review new features with children's safety and privacy in mind, particularly features involving accounts, competition results, photographs, profiles, communications or other personal information.
